How to overcome the challenges of scatter as a property manager

I am very pleased to announce that version 2.0 of Breek.gr is now available for everyone!
Version 2.0 is an expected but also important step of improvement.
“Expected”, as it is absolutely expected that an online subscription service (“Software-as-a-Service”) like Breek.gr evolves. In fact, this is one of the great advantages of our model, as periodic upgrades and improvements based on an ever better understanding of our customers’ needs are “part of the program” and available to everyone, at the same time.
“Important”, as the improvements already available in version 2.0 are an essential step in responding to the comments and suggestions for improvements we received within the first 6 months of Breek.gr’s operation in Greece, from members and prospective customers alike.
Let’s see what has changed and what remains the same in version 2.0 of Breek.gr, the only online property management software in Greece (and designed from scratch for Greece), aiming to make the daily life of managers, owners, and tenants easier, faster and without scatter .
In version 2.0 we have put emphasis on managing your contacts and followed the Ariadne’s thread that touched upon almost all functions that involve other members and, now, other contacts, with or without an association to an existing Breek.gr member.
We also implemented new features to make it easier for you to be onboarded as a new member, we substantially improved the display of information in the property listings, tenancies/concessions and subscriptions, so you can access key information without having to do a lot of clicking between pages, and you can now see all your properties (with or without applying filters) in a map view.
As we all use our mobile phones more and more to perform all sorts of tasks without sitting somewhere with our desktop PC or laptop, Breek.gr now works properly (with a few pages as exceptions) even on the smallest screens (like the iPhone SE). This is something that we will continue to improve so you can manage properties with ease even from your mobile phone.
In version 1.0 your contact list was a list of other registered Breek.gr members. As a result, to create a new tenancy/concession or add new owners to a property’s digital file, you had to invite the tenants or owners to Breek.gr, wait for them to register as members, and then add them to the corresponding listing (property or tenancy/concession).
In version 2.0 each contact in your list is like the contacts in your mobile phone: you can create a new contact whenever you want, and optionally link it to an existing Breek.gr member. You can also enrich the contact’s tab with information you will probably need, such as:
The last one in the list is a “stake” that we planted in preparation for more features we have in our plan, so that property management offices with more than one user can operate as a team.
As some Breek.gr members who access digital property files on Breek.gr are non-Greek natives, we have paid attention to facilitating your communication as a property manager with owners from abroad.
Breek.gr 2.0 now automatically translates foreign names from any language into English (even from languages such as Chinese and Arabic) and displays them alongside the name that each member has declared in their own language.
Conversely, Breek.gr 2.0 now automatically translates your name into English and thus displays it in the user interface and in updates received by members with their user interface set in English.
The “Ownership and Management” section of Breek.gr 1.0 is now divided into two sections: “Ownership” and “Management”. The new “Ownership” section provides a much more informative display of registered and invited owners, as well as status graphics and previews of upcoming changes to the property ownership allocation.
Breek.gr 2.0, as before, will protect you from a total allocation greater than 100%. The improvement is that you can now view pending owner invitations and optionally revoke them.
You can now view all your properties (with or without filters) on a map. This way you can orientate yourself on the geographical area of the properties you own, manage, or rent.
In the list of tenancies and concessions you can now find a progress bar which starts to “fill up” when the tenancy/concession begins. In the bar you can find a human-language explanation of the time that has already run (e.g. “15 months”) and the time remaining (e.g. “expires in 9 months”). This makes it easier for you to know when and what will happen, without having to do mental conversions between dates.
Each property’s digital folder (available with the basic Capture subscription tier and above) is the foundation of property management on Breek.gr. It therefore contains a great deal of information, much of which is not initially available.
Unlike Breek.gr 1.0, Breek.gr 2.0 hides the fields that are not filled in, making it easier for you to find the key information you are looking for in the file. This is a minor change, but something we accepted as a suggestion for improvement from some of our members.
We spent a lot of time improving both the in-app notifications and the emails that Breek.gr 2.0 sends for key events and changes, such as invitations to owners and tenants.
The new Breek.gr 2.0 notifications are more informative and allow access to the relevant entry, depending on its type and the role of the recipient of the update. The new email notifications are also compiled in the language of the recipient’s user interface.
These new notifications are generated by a new notifications subsystem (optionally by emailing the recipient, if they have so chosen on the “Settings” page) which we will continue to expand in the coming months.
Our aim is for each notification that our members receive to have informative and rich content, as well as useful guidance on any actions that may be available based on its type and content.
Although Breek.gr has been designed from scratch with the expertise of skilled User Interface and User eXperience designers, until version 2.0 the first page you landed on as a new member was the “Dashboard” . The Dashboard provides you with a comprehensive view of current tasks, tenancies with outstanding rent payments, and tenancies that are about to expire.
In version 2.0 the Dashboard remains available (for now, unchanged). However, its place as the default home page is now taken by the “Start” page. There, you will find an orientation to the three different role views (Manager, Owner and Tenant) that your account has access to, the list of your available Breek.gr subscriptions, a list of actions to discover the main features of Breek.gr, as well as a list of actions to get started, depending on your current role view.
In addition, the Breek.gr user interface is now interspersed with explanatory paragraphs, which you can (de-)activate from the “Settings” page.
In the last few months we have implemented substantial changes in the technical infrastructure of Breek.gr in order to improve the immediacy and reduce the response time of the web application. Although this is a point of constant focus for our team, Breek.gr 2.0 is already noticeably faster than Breek.gr 1.0.
The Breek.gr 2.0 user interface now shows helpful, explanatory “tooltips” whenever you leave your mouse pointer at certain points.
We have also added a dynamic navigation bar which allows you to quickly see which record you are on (e.g., when you have multiple windows open), and jump to the parent page.
Finally, each listing in Breek.gr 2.0 gets a Unique Identifier (“UID”). You can use this number as a reference for any paper filing you might be conducting separately.
The full UID of each entry is a 36-character alphanumeric that appears in the address in your browser, such as https://app.breek.gr/en/property/01j6f1mkp26wg1j01sjw62xpa9
. However: you don’t have to use all 36 characters! The first 10 characters are sufficient (e.g., 01J6-F1M-KP2, with or without hyphens).
With all these changes, and many more that we have implemented in the spirit of continuous improvement, the three cornerstones of Breek.gr remain stable.
Digital property folder , assignment to a property manager , utilities and meters , documents and multimedia , tenancies and concessions , financial transactions , tasks and requests , property inventory and warranties , property grouping in buildings and complexes , notifications and reminders .
All these functionalities remain active and available depending on the subscription tier of the property (Capture or Monitor ), and are now enhanced for greater usability.
Our concern is to make the property manager’s working life easier, and owners and tenants’ access to key information about their properties and tenancies more immediate than emailing, texting, or calling about everything.
Breek.gr’s user interface was designed from the ground up based on Breek.grβs research with prominent property management professionals and real-estate firms in Greece. It works just as well on an iPad screen as on a 4K resolution monitor.
When Breek.gr 1.0 became widely available for the first time in April 2024, the only subscription model was one per property .
Since then, and by paying attention to the needs of the market, we have created and now offer as an alternative the subscription model per user . The latter offers significant financial advantages to managers of larger property portfolios.
Our goal remains the same: the shared monthly cost of a Breek.gr subscription for a property manager should “disappear” within the manager’s income from each property, regardless of whether the manager’s service charge to the owner is a percentage of the rent (based on market knowledge) or an absolute price (typically many times higher than the monthly subscription for the property on Breek.gr).
